Record Books

The Laramie County 4-H program utilizes a record book for helping youth report on their learning experience each year. The system has eight distinct sections that help youth plan for their involvement in 4-H by setting learning goals for each project in which they’ve enrolled, report on their experiences, and account for their success and involvement. As a youth development program this system helps youth, parents, and volunteers plan for learning experiences that enrich and meet the goals of youth while also providing important information to UW, finding agencies, the media, and others.

At the state level, these portfolios are used as application materials for national trips, scholarships, leadership team selection, awards, etc.. Counties use them to select recognition in areas of leadership, citizenship, project experiences, as well as other areas. Alumni of the program have indicated their use helped them as they began applying for college scholarships and in other areas of life. Additionally, this system supports theWyoming 4-H Achievement Program in helping youth be recognized for their annual participation and potential induction in to the State 4-H Honors Club.

Laramie County 4-H Uses ZSuite to create Record Books. This is the same place that yearly enrollment takes place.

Also note that to receive credit for Record Books, they must be submitted in ZSuite using the Submit button. See instructions below.

ZSuite Record Book Steps

Step 1: Log into your ZSuite/ Add New Year Record Book

Whether you are on the Dashboard screen or the Household Members screen, you will click on Switch Profile located at the top right of the screen. Click Choose Profile of the member you wish to add a record book for. The next screen is the Dashboard for that member’s profile. In the Black dropdown menu, select the Record Book Icon. The next screen is the record books screen, click on the (+ Record Book) icon to add a new record book for that member.

Step 2: Fill in the Required Fields for the Project Record Book you Wish to Add

Example:
Project Name: Market Lamb
Club: Elk Mountain Outlaws (auto fills)
Primary Category: Animal Science
Sub Category: Sheep
Record Book Type: Junior Record Book
Start Date: 04/01/2020
End Date: 08/31/2020

Step 3: Save & Repeat

You will finish adding this record book by clicking the save icon.

You will return to the Record Books screen. Repeat this process for the remainder of the project record books for that member. Switch Profile and select the profile for the next member you wish to add record books for.

Step 4: Editing & Adding Goals

From LOGIN page:
1. Log in using ZSuite username and password.
2. Select Choose Profile of the member you wish to edit a record book for (this will take you to the member’s profile dashboard).
3. On the Dashboard screen in the black drop down menu on the left, select Record Books
4. Your member’s list of record books added should now be shown, and you should now be on the Record Books Screen.

To edit record books from Record Book page:

  1. Select the yellow project name of the project you wish to edit.
  2. In the black drop-down menu on the left, a new option, Project Information, should appear, and the project name you clicked on should be highlighted.
  3. Click Project Information
  4. The next screen is the Project Information Screen, and a yellow info bar should appear that says Project.
  5. Click the blue toolbar options to add goals, starting supplies, expenses, etc. to your project record.

REMEMBER to only add the goals and items for the project you have selected! Do not put every project’s information here!

Repeat this process for all individual project record books for each member.

Step 5: Adding 4-H Year Involvement

Once all of your child’s project records are added, and you have entered all of your project information, including goals, supplies, expenses, etc., you are ready to add your 4-H involvement information! This includes your leadership, community service, state experiences, etc. This will be the same process as adding a project record.

From LOGIN page:

1. Log in using ZSuite username and password.

2. Select Choose Profile of the member you wish to edit a record book for (this will take you to the member’s profile dashboard).

3. On the Dashboard screen in the black drop-down menu on the left, select Record Books

4. Your member’s list of record books added should now be shown, and you should now be on the Record Books Screen.

To add 4-H Year Involvements from the Record Book page:

1. Select (+) Record Book Icon

2. On the Create Record Book page, call the project name My 4-H Year.

3. Under the Primary Category menu, select My 4-H Year; the Sub Category will be 4-H Year Involvement. The record book type will be My 4-H Year Involvement Report

4. Add beginning and end dates.

5. Finish by clicking Save.

Once you have added My 4-H Year to your projects, you may add your 4-H involvement information, including community service, leadership, etc.

  1. To add information to your 4-H Year, select the Yellow My 4-H Year button from the projects list. In the black drop-down screen to the left, you will see a new option called 4-H Involvement Select this option.
  2. On The Screen: Select any of the blue toolbar options to add community service, 4-H leadership, 4-H awards, etc. (The format will be similar to the old online portfolios.)

REMEMBER to Switch Profile if you have more than one member and repeat this process to add 4-H Year Involvement.

Step 6: Downloading/Submitting Project Record

After you have entered all of your project information for each project and have completed your 4-H year involvement, you are ready to submit/download/print your record books!

From LOGIN page:

  1. Log in using ZSuite username and password.
  2. Select Choose Profile of the member you wish to edit a record book for (this will take you to the member’s profile dashboard).
  3. On the Dashboard screen in the black drop-down menu on the left, select Record Books
  4. Your member’s list of record books added should now be shown, and you should now be on the Record Books Screen.

Printing and Submitting:

  1. Select the project you wish to download/print/submit by clicking on the Project Name, make sure it is highlighted.
  2. In the black drop-down menu to the left, select
  3. Print/Submit
  4. You can review the record book, and if there are no changes to be made, download/print/or submit that file by clicking on one of the corresponding buttons in the top right corner.
  5. Repeat this process for all other record books and 4-H involvement for each member when it is time to turn them in, or if you would like them saved to your computer.

NOTE: You must click the SUBMIT button to save into ZSuite to receive credit for your Record Books.
